Data and purposes
- Contact details, such as name, email, subject and message, to receive and respond to enquiries once a live contact-data workflow is enabled.
- Association content and activity images supplied by the Association for news, notices, activities, journals and downloads. The Association confirms the rights and appropriateness of content before publication.
- System-security information, such as IP address, time, device or event logs where required by the hosting provider, to protect the site and investigate incidents.
- Administrator accounts, to manage access rights and review material changes to the website.
Contact-form status
During the first phase, the website contact form is still awaiting a confirmed delivery and storage workflow. Please do not submit personal or sensitive data through the form until the Association announces that the service is live.
Disclosure and third parties
The website provides outbound links to official Facebook, LINE, Instagram and other Association channels. It does not embed social posts or use social pixels in the first phase. Information supplied directly to an external service is governed by that service’s own notice. The Association will identify the actual hosting, email, backup and plugin providers once system settings are confirmed.
Retention
Once a live contact workflow is enabled, the proposed period for enquiry data is no longer than one year after the matter is closed, followed by deletion or de-identification. Published news and activity images are kept only as necessary for publication and activity records. Security logs and backups follow the actual settings of the relevant provider.
Your rights
Subject to legal conditions, you may request access or a copy, correction, erasure, restriction, objection, withdrawal of consent, and data portability where applicable. Please contact the Association using the channels above.
Information not to send
Please do not send patient information, health data, sensitive data or file attachments through the website contact form. These are outside the first-phase scope.
